ScholrNet collects information you provide directly, information automatically collected when you use the Platform, and information from third parties where applicable. We collect only the data necessary to operate and improve the Platform.

2. Account Information

When you create an account, we collect:

  • Your full name
  • Email address
  • Password (stored as a salted bcrypt hash — never in plain text)
  • School name and grade (optional but recommended)

If you sign in using Google or GitHub OAuth, we receive your name, email, and profile photo from that provider. We do not store your OAuth tokens beyond what is required for authentication.

3. Profile Information

You may choose to add additional information to your profile, including:

  • Bio and personal description
  • Profile photo or avatar
  • Username
  • Skills and interests
  • Theme preferences
  • Referral code

Profile information is visible to other users you connect with, and certain fields (username, name, school) may be visible on the public timeline or shareable profile links.

4. User-Generated Content

We collect and store content you create on the Platform, including:

  • Achievements and their supporting documents (certificates, descriptions)
  • Projects and associated details
  • Experience entries
  • Posts, comments, and messages
  • Club memberships and club-related content

You control the visibility of your content. ScholrNet does not share your content with third parties except as described in this policy or with your explicit consent.

We automatically collect certain information when you access the Platform:

  • Pages visited and features used
  • Browser type and version
  • Device type and operating system
  • Approximate geographic location (based on IP address)
  • Referral source
  • Time and duration of visits

ScholrNet uses cookies and local browser storage for essential functionality:

  • Verify achievements through school administrators

  • Prevent abuse, fraud, and violations of our Terms
  • Generate anonymous usage statistics

We do not use your data for targeted advertising or sell it to any third party.

8. How Information Is Shared

ScholrNet shares your information only in the following circumstances:

  • With your consent: When you choose to share your profile link or make content public.
  • With school administrators: For the purpose of verifying achievements. Only the information necessary for verification is shared.
  • With service providers: We use third-party services for hosting (Vercel), database (Supabase PostgreSQL), file storage (Supabase Storage), email (Resend), and authentication (Firebase). These providers are contractually bound to protect your data and may not use it for any other purpose.
  • Legal compliance: If required by law or in response to a valid legal request.

We do not share personal information with advertisers or data brokers.

9. Data Retention

We retain your account information and content for as long as your account is active. If you delete your account, we delete or anonymize your personal data within 30 days, except where retention is required by law.

Aggregated and anonymized analytics data may be retained indefinitely for statistical purposes.

Messages and content visible to other users (such as comments on a public post) may remain visible after account deletion, stripped of personal identifiers.

10. Security Practices

ScholrNet takes reasonable measures to protect your information:

  • Passwords are hashed using bcrypt before storage.
  • All connections use TLS/SSL encryption.
  • Database connections are encrypted and authenticated.
  • Session cookies are HTTP-only and use SameSite=Lax.
  • Two-factor authentication is available for account protection.
  • Security headers (CSP, HSTS, X-Frame-Options) are applied to all responses.
  • Regular security updates are applied to dependencies.

No platform can guarantee complete security. We encourage users to use strong passwords and enable two-factor authentication.

11. Children's Privacy

ScholrNet is designed for students aged 13 and above. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal data, we will delete it promptly.

Users between 13 and 18 years of age confirm during registration that they have parental or guardian consent to use the Platform.

Some content you have shared with others (e.g., comments on posts, club messages) may remain visible after deletion, stripped of your name and personal identifiers.
